MAINLAND ECUADOR AND COLOMBIA

RESERVATIONS

In order to ensure availability and low airfare, we recommend making reservations several months in advance. For immediate confirmation of a reservation, please contact us to arrange payment for the initial deposit. The initial deposit is calculated as 20% of the total cost of your trip.

PAYMENT

To guarantee any group or individual reservation, a deposit of 20% of the total cost of your trip is required. This deposit must be paid upon confirmation of all services.
For tours in Continental Ecuador we require full payment 30 days prior to the date that services are scheduled to begin.
For last-minute reservations made fewer than 30 days prior to departure, we require full payment upon reservation.
Special policies may apply for allotments, series and specific bookings during high season. And for all Galapagos Bookings.
We will issue a final invoice when all services are confirmed (for third party suppliers, payment will be requested according to operator polices).
All our rates are in US Dollars.
All payments must be made in US Dollars by credit card, US bank transfer, international wire transfer, PayPal, or as previously arranged.

 

CANCELLATIONS

Main Land Ecuador and Colombia:

All reservations canceled with more than 45 days prior to departure are subject to a $40.00 handling fee per person. All reservations canceled fewer than 45 days prior to departure (computed by date of receipt of written cancellation notice) are subject to the following schedule of fees:
If cancellation is received:
•  44 to 30 days prior to departure, 20% of the full price will be forfeited.
•  29 to 20 days prior to departure, 50% of the full price will be forfeited.
• 19 to 10 days prior to departure, 75% of the full price will be forfeited.
•  9 days or fewer prior to departure, full payment will be forfeited.

CANCELLED TRIPS

NEOTROPIC Expeditions reserves the right to cancel any trip prior to departure for any reason whatsoever. The refund of all payments received shall release NEOTROPIC Expeditions from any further liability. NEOTROPIC Expeditions is not responsible for expenses incurred by trip members in preparing for a canceled trip (e.g., air tickets, visa
fees, inoculations, equipment, etc.)
Any expenses incurred in the refund of money due to a cancellation, will be deducted from the total amount to be reimbursed.

PRICING 

In general, our listed rates for fixed departure dates are the lowest rates available for any trip. For non-fixed departures, the price paid per person will vary depending on the number of participants.

THIRD PARTY SUPPLIERS

Services provided by third-party suppliers are subject to their own payment and cancellation policy, which will be duly informed.

SINGLE SUPPLEMENTS 

All pricing is based on double accommodation. Participants who desire single accommodation should request this arrangement in advance. If single accommodation is available, participants will pay a single supplement, which varies by hotel and room.

RESPONSIBILITIES

NEOTROPIC Expeditions reserves the right to change or withdraw any travel arrangements when deemed necessary or in the best interests of our clients. This is especially applicable when faced with unforeseen weather conditions that prevent us from running a trip safely.
We reserve the right to refuse service to any passenger should he/she jeopardizes group safety or engages in illegal, abusive, or offensive behavior. Luggage travels at the owner’s risk throughout the tour, although we take all necessary precautions. We are not responsible for cancellation of any services due to natural disasters, social upheavals or
other circumstances out of our control.

Participants have the responsibility to select a trip appropriate to their abilities and interests. In order to assist you, required effort is listed for each trip. We are also happy to discuss the details of trips and activities with you. Trip members are held responsible for being insufficient health to undertake the trip. Trip members are responsible for preparing for the trip by studying the itinerary and pre-departure information sent by
NEOTROPIC Expeditions and for bringing the appropriate clothing and equipment as advised therein.

INCLUSIONS AND EXCLUSIONS

Meals: Meals provided are specified on itineraries as breakfast (B), lunch (L), picnic lunch (PL), and dinner (D). Spring water is included with all meals, but soft drinks, juices, and alcohol are not included unless specified. Some trips do not include full meals, but you may request them at an additional cost.
Airfare: The prices of our trips DO NOT include airfare unless specified. We are happy to reserve and sell the necessary airline tickets for your arrival and departure. Prices vary according to season.
Airport transfers: International and domestic airport transfers are not included unless specified.
Entrance fees: Our trips DO NOT include entrance fees to national parks, reserves, or protected areas.
Guides and transportation: All of our trips include the services of at least one licensed, bilingual guide. All activities specified in itineraries are guided. Our trips include all necessary land transportation in safe, private, quality 4×4 vehicles, vans, and/or buses.

GALAPAGOS ISLANDS

RESERVATIONS

For last-minute reservations made fewer than 59 days prior to departure, we require full payment upon reservation.

  • 29 days or fewer prior to departure, full payment will be forfeited.
